Brixham Art Society Complaints Procedure

This procedure relates to all Members, Visitors and Guests.

The Brixham Art Society aims to give everyone who is a member, visitor or a guest, the best possible experience of being a member, visitor or guest.   For us to achieve this, we need to know when and how things have gone wrong.

If you want to make a complaint about our activities or conduct, there are several ways you can do this:

By phone: to the Honorary Secretary, David Hazelton on 07702 634691

• Online to davidjhazelton@gmail.com

It is important to give us all your contact details and the best way to reach you as we will need to contact you.

Stage one.

Complaints will help us identify problems and put them right, so we welcome your views. Most complaints can be dealt with informally by talking to the person most concerned or any member of the Committee. All Committee members approached will listen to your views, make a record of what happened and report back to the Committee in full. After discussion within the Committee, if found necessary, changes will be made where possible and the results communicated to you.  Whatever the outcome, you will be fully informed about any decisions made.

Stage Two

If you feel that your concern cannot be or will not be dealt with fairly, in this way, for example if your complaint is about a person on the Committee, the correct route is to make a Formal Complaint.   In that event, please address your complaint to the Honorary Secretary of the Brixham Art Society, details as above. The Honorary Secretary of the Committee will conduct a detailed investigation and meet the person or people that you have raised a concern about.  We will talk to you about what has happened, and we will always make sure that your complaint or concern is treated confidentially. You can tell us everything that happened. We undertake to respond to you within five working days, so that you always know what is happening and can feel sure that we are treating your concern or complaint seriously. We commit that you will get an open and fair response. You will always be treated with respect, and we will do all that we can to help find a way forward.

Stage Three

If you are still dissatisfied, you can make an appeal to the Chair of the Brixham Art Society. Please be aware that it takes longer to manage a formal complaint because we will hold a full investigation. We will aim to finish our investigation within thirty working days of receipt and will then contact you in writing. Dependent upon the result of our investigation, we will explain the result of our discussions or investigation and let you know what we will do to improve our services going forward. Decisions made as a result of the appeal to the Chair are final. Policy Date: This Policy will be reviewed every three years.
